Purpose

  • This position requires a detail-oriented person skilled to work independently, innovatively and efficiently in a fast paced environment handling multiple responsibilities and meeting multiple deadlines. Must be able to analyze and research system data to gather information. Coordinates administrative activities to support Regional Sales and/or Parts & Service Managers.

Major Responsibilities

  • Perform analysis of assigned department data such as daily sales reports utilizing Excel and SAP & CAARs. Create and distribute structured reporting of analysis as directed by management, i.e., daily, weekly, and monthly sales reports.
  • Assist regional management and staff with expense report submission and travel requests.
  • Proactively monitor and analyze regional budget spending and assist regional management with accruals and budget schedules.
  • Coordinate delivery of necessary regional reports to DSMs and/or DPSMs.
  • Track field contact report submission per HMA guidelines and ensure reports are distributed to the appropriate staff managers for their review/action, while checking all weekly itineraries versus the contact report log.
  • Create and publish regional communications to the dealer body such as monthly objective letters, regional newsletters, etc.
  • Create, publish and distribute reports as assigned by management. Examples: sales month end reports, weekly sales estimates, weekend business reports, Co-op recaps and MSP spending reports.
  • Create and publish various presentations as required by management.
  • Coordinate incoming and outgoing phone, mail and special delivery (FEDEX) for Regional Management.
  • Process and track all regional program related invoices, expenses and PRs via JDEdwards.
  • Maintain and update all Outlook contact dealer email groups.
  • Distribute sales and service information via email/mail to DSM/DPSM and dealers.

Major Responsibilities (continued)

  • Maintain all regional sales and/or service files.
  • Coordinate communications between Regional Management and the DSM/DPSM field force.
  • Assist the dealer body to resolve questions associated with account receivables, account payables or other HMA to Dealer issues.
  • Assist office staff with all outgoing and incoming mail and Fed-Ex. Responsible for the weekly mailings to the DSM’s or DPSM’s.
  • Individual will structure, organize and track all regional dealer contests. This includes the daily recaps to regional management and the dealer body. The ability to discuss these results and explain them to dealership personnel is necessary.
  • Take an active leadership role in the mentoring and training of department Specialists and other junior personnel.
  • Miscellaneous other administrative duties, not limited to above, as and when assigned by the Regional Sales Manager and General Manager.

Authority

  • Acts as gate keeper for dealer requests regarding incentive adjustment requests, STAR Program adjustments, etc.

Education

~ Must be a high school graduate
~ Bachelor’s degree preferred

Related Experience

  • Two to four years of administrative level work experience.

Skills/Knowledge

  • High level skills in Microsoft Word, Excel and PowerPoint.
  • Ability to identify needs and prioritize tasks.
  • Knowledge of automotive dealer terminology.
  • Working knowledge of regional automobile operations desired.
  • Working knowledge of AS400/SQL system, SAP & CAARS.
  • Ability to work with a variety of personalities.
  • Well-developed oral and written communication skills.
  • Excellent organization and follow-up skills.
  • Innovative problem-solving personality.

$53,650.00 - $74,000.00 Annual
