Location
Purpose
- Responsible for assisting with the day-to-day operations relating to all Affiliate leases and VIP Fleet.
Major Responsibilities
- Involved with the execution, proposing, and implementing of ongoing process improvement relating to Affiliate Lease Program. Work closely with HAEA on day-to-day issues and project related activities in assigned areas (such as system interruptions and system enhancements).
- Help with training Regional Distribution staff handling the day-to-day operations relating to the Affiliate Lease Program.
- Handle HMA’s Affiliate program, including, but not limited to, ordering, allocating, distributing, tracking, selecting vehicle sales and disposing. Process new customer information and obtain approval from the HR/Admin Services Director. As the Affiliate Lease liaison, work closely with Vehicle Administration team members to process driving record clearances, AOM training confirmation, accidents, incidents, pool cars, license plates, renewal stickers, scheduled maintenance reimbursements, and tolls and citations as needed. Prepare various Affiliate ad hoc reports, as well as preparing monthly billing for all Affiliates. Assist Affiliate HR representatives as needed. Develop and conduct Affiliate Lease training as needed. Manage Affiliate Comp Codes and email contacts in the SAP Company Car system, including creating new codes, auditing existing codes and maintaining their active/inactive status.
- Monitor and ensure compliance of assigned Company Car Policy & Procedures. Develop and utilize various ad hoc reports to monitor, control, track and resolve accuracy/time sensitive issues at NHQ and Regional locations.
- Some oversight of contract associate(s) to ensure proper Management of the VIP Fleet, including Chairman/Vice Chairman visits (vehicle coordination), VIP car washes and other tasks as needed.

- Provide support of the bi-annual Company Car Physical Inventory.
- Support Vehicle Administration Management with various ad hoc reports, trouble shooting, Policy & Procedure recommendations, audits and special projects as needed.
Authority
- Communicate and resolve issues to management and business partners.
- Escalate appropriate decisions in absence of Sr. Manager, Vehicle Administration.
- Manage activities of HAEA for assigned areas of responsibility.
- Prepare wire transfers/company car payments/monthly billings.
- HAEA Service Requests.
Education
Related Experience
- Four or more years of administrative work experience required, preferably within a related field.
- Sales experience a plus.
- Automotive manufacturer or distributor experience required.
- Bi-lingual in Korean a plus.
- Vehicle Administration experience a plus.
Skills/Knowledge
- Strong organizational, planning and follow-up skills with attention to detail.
- Ability to handle, process and maintain personal and confidential information.
- Advanced interpersonal and customer service abilities to work with all levels of management and customers (including Executive Expatriates).
- Ability to work on multiple tasks and set priorities.
- Highly self-motivated and takes ownership of areas of responsibility.
- Flexibility in a fast-paced environment necessary.
- Effective verbal and written skills.
- Experience in use of central computer systems and PC skills, including MS Word, Excel, intranet, and internet.
- Must be able to safely drive a motor vehicle.
Certification
- Valid California driver’s license and good driving record.
- Active Salespersons License (able to obtain upon hire but must be completed within 90 days of hire).
